Immersion Session

Immersion Session

We get to know your team before we get to know your users.

A Cogworks Immersion Session is a collaborative workshop that brings our senior strategy and technical teams together with your key stakeholders. Over a structured session built around three stages - Align, Refine, and Define - we capture what matters most to your organisation, surface the challenges your team already sees, and build a shared roadmap for what happens next. It is the foundation of every Cogworks project and the starting point for your Momentum Roadmap.

Who it's for

This session is for you if: you are starting a new digital project and want to get the relationship right from day one. Your team has opinions about what's working and what isn't, but they haven't been captured or prioritised in one place. You've been through website projects before that lost direction midway through. You're about to invest in a redesign, a new platform, or a programme of improvement work and want the strategic groundwork done properly before committing budget. Or you want an external partner who becomes part of your team, not a supplier who disappears between milestones.

How it works

1

Align

We immerse ourselves in your world. Our senior strategy and technical teams meet your key stakeholders to understand your brand, your business objectives, your audiences, your competitive landscape, and what success looks like for you. We collect existing research, analytics, and any brand work already done. This is a chemistry session as much as a briefing. We want to understand who you are and how your team thinks before we look at a single wireframe.

2

Refine

We capture the biggest themes from the alignment stage and play them back to the group. What does the team think works well? Where do they see the real problems? What frustrates them about the current site or platform? We prioritise collaboratively, because we want to know what your team believes matters most before we apply our own perspective. This is the step most agencies skip: understanding the team before understanding the user. We do it deliberately because your people know some things that no audit can uncover.

3

Define

Together we work out what happens next. Which Spark projects (audits, user research, technical reviews) do we need to run? What existing research can we build on? When does the team want to kick off, and when do they want to launch? We build a rough Spark-to-Ignite (research-to-build) roadmap with realistic timelines, so everyone leaves the room with a shared picture of the path ahead. This becomes the foundation for your Momentum Roadmap.

What we look at

1

Your brand, your team, and your ambitions

Who you are, what you stand for, where you want to be online, and who you admire. We capture your inspirations, your brand positioning, and your aspirations for the digital experience. We also learn how your team works together, because the people in the room will shape every decision that follows.

2

What your team thinks works and what doesn't

Your stakeholders have opinions about the current site that rarely get captured in a structured way. We draw those out: what pages do they send people to, what do they avoid, what gets complaints from customers or internal teams, what embarrasses them. These are signals that no analytics tool can replace.

3

Where users might be finding things difficult

Before running any formal research, we capture the team's instinct for where friction lives. Which journeys feel broken, which questions keep coming in that the site should answer, which competitors seem to do it better. These early hypotheses guide which audits and research we recommend as the next step.

4

What needs to happen next and in what order

By the end of the session, we have enough to shape a realistic plan. Which audits will give us the evidence we need? Is there user research to collect? What are the hard deadlines? What does the team's appetite for change actually look like? We map all of this into a rough timeline that becomes the skeleton of your Momentum Roadmap.

What you get

Session summary and prioritised themes

A clear write-up of everything captured during the Immersion Session: the strategic themes, the team's priorities, the pain points, and the opportunities. Organised so that anyone who wasn't in the room can understand what was discussed and what was agreed.

Recommended Spark projects

Based on what we learn in the session, a specific recommendation for which audits, research, and discovery work should come next: usability snapshot, SEO and GEO audit, accessibility review, persona work, health check, or any combination. Each recommendation is tied to a theme from the session so the rationale is visible.

Rough Spark-to-Ignite roadmap

A timeline sketch showing how the recommended Spark projects feed into a broader programme: what happens first, how long each stage is likely to take, when design and build might begin, and when launch could realistically land. Not a final plan, but a shared picture of the shape and pace of the work ahead.

A brief your team can use internally

The session outputs are packaged as a document your team can share with leadership, budget holders, or procurement. It captures the strategic direction, the recommended next steps, and the investment required clearly enough to support an internal business case without additional translation.

What happens next?

The Immersion Session is the starting point, not the end. The themes and priorities we capture feed directly into your recommended Spark projects, whether that's a Usability Snapshot, an SEO and GEO Audit, Persona and Journey Mapping, or something else entirely. Each Spark project builds evidence. That evidence shapes your Momentum Roadmap, the strategic plan that guides everything from design through build through launch and beyond. Every project we run starts here, because the work is always better when we understand your team first.
